This Privacy Policy explains how Optimum Technology Holding Sdn Bhd(Company No. 1461003-T), referred to in this notice as “Optimum Technology”, “we”, “us”, or “our”, collects, uses, discloses, and protects your personal data when you visit optimumtech.my, contact us through any of our channels, engage us for software development services, or interact with our marketing communications.
We process personal data in accordance with the Personal Data Protection Act 2010 of Malaysia (PDPA) and applicable amendments.

2. Information we collect
We collect the following categories of personal data:
- Contact information you submit directly — name, email address, phone or WhatsApp number, company name, and any project details you share with us through our website forms, WhatsApp, email, or in-person meetings.
- Technical data automatically collected when you visit our website — IP address (truncated for analytics), browser type and version, device type, referring URL, pages viewed, and approximate location at city level.
- Communication records — copies of emails, WhatsApp messages, meeting notes, and call logs related to enquiries, proposals, or active projects.
- Marketing engagement data — actions taken on our advertisements or social media posts (e.g. clicks, form submissions on platforms such as Meta and Google).
We do not knowingly collect sensitive personal data (such as health, religion, or political opinion). Please do not include such information in messages to us.
3. How we use your information
We use personal data for the following purposes:
- To respond to enquiries, prepare proposals, and provide quotations.
- To deliver software development, consulting, and support services you have engaged us for.

5. Marketing & advertising
We run advertisements on platforms including Meta (Facebook and Instagram) and Google. These platforms may receive limited event data (such as page views or form submissions) from our website through their pixels or SDKs, which they process under their own privacy policies.

7. International transfers
Some of our service providers operate servers outside Malaysia (for example, Singapore or the United States). When personal data is transferred outside Malaysia, we ensure the recipient provides a level of protection comparable to the PDPA, either through contractual safeguards or because their jurisdiction offers an equivalent legal regime.
8. How long we keep data
We retain personal data only for as long as necessary for the purposes set out in this notice, including statutory, tax, accounting, or reporting requirements. Indicative retention periods:
- Enquiry records (where no engagement follows) — up to 24 months.
- Client project records — for the duration of the engagement plus 7 years (to meet statutory accounting and audit requirements).
- Website analytics — aggregated and retained for up to 26 months.
- Marketing engagement records — until you opt out, or up to 36 months of inactivity.
9. Security
We apply reasonable technical and organisational measures to protect personal data — including TLS encryption in transit, access controls, code review, secure development practices, and periodic security audits. No system can be guaranteed completely secure; we encourage you to use strong passwords and not to share confidential information over insecure channels.
10. Your rights under PDPA
Under the Personal Data Protection Act 2010, you have the right to:
- Access the personal data we hold about you.
- Correct data that is inaccurate, incomplete, or out of date.

11. Children’s privacy
